This Privacy Policy sets out the rules for the processing and protection of personal data provided by Users in connection with the use of the Biossphere Fulfillment Services and related logistics services (3PL). Our priority is to ensure maximum security of your data in a B2B environment, in accordance with GDPR requirements.

Who is the Data Controller?

The administrator of your personal data (Data Controller) is Biossphere P.S.A. with its registered office in Warsaw, at ul. Przyczółkowa 350, 02-962 Warszawa, Poland, VAT ID (NIP): PL9512578037 (hereinafter: "Controller" or "Biossphere").

What data do we process and for what purpose?

As a platform providing B2B software and 3PL fulfillment services, we limit data collection to the absolute minimum required to properly manage contracts and the system. We process your data in the following situations:

Registration and account management in the Armory Portal

We process your first name, last name, business email address, and login credentials (including data from Google SSO authentication).

Legal basis: Performance of a contract (Art. 6(1)(b) GDPR).
Execution of logistics services (3PL) and shipping addressing

In order to deliver equipment to events, we process data entered into the system's Address Book, including on-site contact phone numbers, company names, and delivery addresses.

Legal basis: Performance of a contract (Art. 6(1)(b) GDPR).
Technical support and ticket handling

If you use the portal's built-in ticket system or contact forms, we process the data provided in the request to resolve your technical or logistical issue.

Legal basis: Legitimate interest of the Controller (Art. 6(1)(f) GDPR).
Billing and invoicing

We process company data (VAT ID, registered address, entity name) necessary to generate Quotes and VAT invoices based on tracked time and warehouse usage.

Legal basis: Compliance with a legal obligation (Art. 6(1)(c) GDPR).
Platform analytics and satisfaction surveys

We collect anonymized data about your interactions with the platform and satisfaction survey ratings to optimize our services and UX pathways.

Legal basis: Legitimate interest of the Controller (Art. 6(1)(f) GDPR).

Who do we share your data with?

Your data is safe with us and is never sold to third parties. To ensure the continuity of our services, we entrust data processing only to verified technological and logistics partners. These may include:

  • Cloud and server infrastructure providers.
  • Logistics subcontractors supporting transport across Europe ("Last-Mile" delivery).
  • Analytical software providers (e.g., Google Analytics 4, Microsoft Clarity, Hotjar) helping us monitor website performance.
  • Accounting and invoicing system providers.

How long do we keep your data?

We store your personal data for as long as you have an active account in the Biossphere Armory Portal system. After the termination of cooperation and account deletion, financial and billing data are kept for the period required by tax and accounting laws (standardly 5 years in Poland). Other data is retained until the statute of limitations for potential claims arising from the concluded contracts expires.

What are your rights?

In connection with our processing of your data, in accordance with the GDPR, you have the right to:

  • Access your data and receive a copy of it.
  • Rectify (correct) your data if it is inaccurate or outdated.
  • Erase your data ("right to be forgotten") if there are no legal grounds for its further processing.
  • Restrict the processing of your data.
  • Data portability to another controller.
  • Object to the processing of your data for marketing purposes or based on our legitimate interest.
  • Lodge a complaint with a supervisory authority (in Poland, this is the President of the Personal Data Protection Office - UODO).

Cookies Policy

Our platform uses cookies (small text files saved on your device) to ensure the proper functioning of the SaaS software, maintain login sessions (SSO), and collect analytical data regarding bottlenecks in the user interface.

We use two main types of cookies:
Essential (Technical) Cookies

Critical for the functioning of the portal (login, infrastructure security, user session). These cannot be disabled.

Analytical and Performance Cookies

Used by tools such as Google Analytics 4 or heat mapping systems (e.g., Microsoft Clarity) to better understand how users navigate the site, allowing us to continuously optimize usability.

During your first visit to the website, you have the option to consent to analytical cookies. You can change these settings at any time directly from your browser.

Changes to the Privacy Policy

We reserve the right to update this Privacy Policy in the event of changes in legal regulations or the development of new features within the Biossphere Armory Portal. We will inform Users of any significant changes via email or through a notification inside the dashboard.
